Terms & Conditions
The London Animation Project
These Terms & Conditions govern the provision of animation after-school clubs and related educational services by The London Animation Project Ltd (“we”, “us”, or “our”).
By booking a place, enrolling a child, or engaging our services as a school or partner, you agree to these Terms & Conditions.
1. Our Services
The London Animation Project provides structured, curriculum-aligned animation after-school clubs delivered in partnership with schools and qualified freelance creative practitioners.
Our services are educational in nature and are designed to support children’s creative development through animation techniques such as stop-motion, storytelling, and visual design.
2. Bookings and Enrolment
2.1 Parents and Guardians
Bookings are made by a parent or legal guardian on behalf of a child. By completing a booking, you confirm that you have the authority to do so and that all information provided is accurate.
Places are allocated on a first-come, first-served basis and are subject to availability.
2.2 Schools
Where clubs are arranged directly with a school, the school acts as the primary point of coordination for enrolment, attendance, behaviour support, and safeguarding procedures during sessions.
3. Fees and Payment
Fees are communicated clearly in advance, either via the website, booking form, or school agreement.
Payments must be made in accordance with the instructions provided at the time of booking.
Where payment is made per term, fees are calculated based on the agreed number of sessions.
All fees relate to the provision of educational services. Where applicable, services may be VAT-exempt under UK VAT legislation.
4. Cancellations and Refunds
4.1 Parent / Guardian Cancellations
If a child withdraws before a course begins, refund eligibility will be confirmed at the time of booking.
Once a course has started, refunds are not normally available for missed sessions due to illness, holidays, or other personal circumstances.
4.2 Course Changes or Cancellations by Us
We reserve the right to cancel or reschedule sessions due to circumstances beyond our control, including tutor illness, school closure, or safeguarding concerns. Where this occurs, we will aim to provide a replacement session or an appropriate refund.
5. Attendance and Behaviour
Children are expected to follow the school’s behaviour policy during sessions.
We work closely with schools to manage behaviour appropriately. Persistent or serious behavioural issues that affect the safety or learning of others may result in a child being withdrawn from the club, without entitlement to a refund.
6. Health, Medical Information, and Allergies
Parents and guardians must disclose any relevant medical conditions, allergies, or additional support needs at the time of booking.
While reasonable care is taken, responsibility remains with the parent or guardian to ensure information is accurate and up to date.
7. Creative Work and Intellectual Property
Children retain moral ownership of the creative work they produce during sessions.
By enrolling a child, parents and guardians grant The London Animation Project a limited licence to display animations or artwork for educational or promotional purposes only where explicit consent has been provided.
No creative work will be shared publicly without appropriate consent.
8. Photography and Video
Photography or video recording may take place during sessions for educational or promotional purposes.
Such content will only be used where written parental consent has been given and can be withdrawn at any time by contacting us.
9. Tutors and Delivery Staff
All sessions are delivered by vetted freelance tutors and assistants who:
Hold an Enhanced DBS check
Have appropriate safeguarding training
Operate in line with our safeguarding and child protection procedures
Tutors are independent professionals engaged for service delivery and are not employees of schools or parents.
10. Liability
We take reasonable care to ensure a safe and supportive learning environment. However:
Participation in creative activities carries inherent risks, which are minimised through risk assessments and supervision.
We are not liable for loss or damage to personal belongings brought to sessions.
Nothing in these Terms limits liability where it cannot be limited under UK law.
11. Safeguarding
Safeguarding is a core priority. All sessions operate in accordance with our Safeguarding and Child Protection Policy and the host school’s safeguarding procedures.
Any safeguarding concerns will be reported and managed in line with statutory guidance.
12. Website Use
Use of our website is permitted for lawful purposes only. We reserve the right to update content, suspend access, or remove material at any time without notice.
13. Changes to These Terms
We may update these Terms & Conditions from time to time. The most current version will always be published on our website. Continued use of our services constitutes acceptance of the updated terms.
14. Governing Law
These Terms & Conditions are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
